Regulations for Participation in the “Intense Inspirations” Conference
§ 1.1 General Provisions
- The organizer of the “Intense Inspirations” Conference (hereinafter referred to as the “Conference”) is Intense Group Sp. z o.o., with its registered office in Kraków, ul. Opolska 100, 31-323 Kraków, Poland, entered into the Register of Entrepreneurs of the National Court Register maintained by the District Court for Kraków-Śródmieście in Kraków, 11th Commercial Division of the National Court Register, under KRS No. 0000310160, Tax Identification Number (NIP): 945-211-00-74, e-mail: [email protected] (hereinafter referred to as the “Organizer”).
- Participation in the Conference requires completion of the Registration Form available via the REGISTRATION page.
- Applicant – an entrepreneur or natural person who submits a registration for participation in the Conference using the Registration Form.
- Participant – an entrepreneur or natural person who has obtained the right to participate in the Conference.
- These Regulations constitute an integral part of the Registration Form and are binding upon all Participants.
- Completion of the Registration Form constitutes acceptance of these Regulations by the Applicant.
§ 1.2 Registration
- Applications for participation in the Conference must be submitted using the Registration Form available via the REGISTRATION page.
- Upon receipt of the registration, the Organizer shall inform the Applicant by e-mail whether the application has been accepted, rejected, or requires completion.
- The date on which the Registration Form is received by the Organizer shall be deemed the date of submission.
§ 1.3 Conference Participation Rules
- A registered Participant may attend the on-site Conference on May 22, 2026.
- Only authorized persons may participate in the Conference, namely registered Participants who have received confirmation from the Organizer that their registration is complete.
- Registrations submitted by April 20, 2026, shall qualify for complimentary participation in the Conference.
- In the case of registrations submitted after April 20, 2026, participation in the Conference shall be possible only after payment has been credited to the Organizer’s bank account no later than two (2) business days before the Conference date. Payment shall be made based on a pro forma invoice issued by the Organizer. The payment date shall be the date on which the funds are credited to the Organizer’s account.
- Upon receipt of payment, the Organizer shall issue a VAT invoice to the Applicant within 14 days.
- The number of complimentary tickets available for participation in the Conference is limited. Companies with an active upgrade agreement that register by April 20, 2026, are entitled to the following number of complimentary tickets:
- License value ≤ PLN 100,000 – 3 tickets
- License value ≤ PLN 300,000 – 5 tickets
- License value ≤ PLN 500,000 – 7 tickets
- License value > PLN 500,000 – 10 tickets
- The net participation fee is specified in the Registration Form. The fee includes participation in the Conference and attendance at the evening networking event only.
- The deadline for submitting the Registration Form is three (3) days prior to the Conference. Registrations submitted after this deadline may be accepted conditionally.
- The Organizer reserves the right to close registration earlier if all available places designated for Participants have been filled.
- The Organizer shall provide lunch, light refreshments, and beverages (coffee, tea, water, and juice) to Participants during the event.
§ 1.4 Cancellation of Participation
- Cancellation of participation by the Applicant may only be made by submitting a written statement via e-mail to: [email protected].
- Receipt of the cancellation shall be confirmed by the Organizer via e-mail sent to the address provided in the registration. In such a case, the conference fee paid by the Applicant shall be refunded to the bank account indicated by the Applicant.
- Free cancellation of participation is possible up to fourteen (14) days before the Conference date. In the event of cancellation after this deadline, the Organizer shall charge cancellation fees as follows:
- 50% of the order value for cancellations made between 13 and 7 days before the Conference date;
- 100% of the order value for cancellations made between 6 days before the Conference and the Conference commencement date.
- The Applicant has the right to substitute the Participant. In such a case, the conference fee shall not be refunded.
- If a Participant fails to attend the Conference, the Applicant shall remain liable for the full participation fee in accordance with the Registration Form.
§ 1.5 Rights of the Organizer
- The Organizer reserves the right to modify the Conference programme, including but not limited to changing speakers, lecturers, presentation participants, or presentation schedules.
- In the event of force majeure, the Organizer may change the Conference date or cancel the Conference entirely. Force majeure shall mean any extraordinary external event, including but not limited to natural disasters and actions of public authorities (including legal changes), the consequences of which could not reasonably have been foreseen or whose impact on the Conference date could not have been predicted.
- The Organizer may record the Conference and the image of persons participating therein for documentation, reporting, advertising, and promotional purposes related to the Conference and the Organizer in future years. By participating in the Conference, Participants accept these Regulations, including the provisions concerning the recording and publication of their image. The Participant’s image may be electronically processed, cropped, edited, combined with the images of other persons, and supplemented with accompanying commentary. Audio and video recordings may be edited, modified, and incorporated into other materials prepared for documentation, reporting, advertising, and promotional purposes without the obligation to obtain approval of the final material from the Participant. Acceptance of these provisions covers all forms of publication, including publication on the Internet and social media platforms such as Facebook, YouTube, and LinkedIn within the Organizer’s official profiles. Details regarding the processing of personal data related to the Participant’s image are set out in § 1.7 Personal Data Processing.
- The Organizer may exempt selected groups of Participants from registration fees or reduce such fees.
- To the fullest extent permitted under Polish law, the Organizer excludes liability for damages incurred by Participants in connection with the organization, conduct, cancellation, or postponement of the Conference. The Organizer shall not be liable for any lost profits or indirect losses. In the event of concurrent contractual and tort liability, Participants may seek compensation solely within the limits specified in this section.
- The Organizer shall not be liable for any property belonging to the Applicant or persons delegated by the Applicant to participate in the Conference that may be lost, damaged, or stolen during the Conference.
§ 1.6 Complaints
- Each Applicant has the right to submit complaints regarding the Conference within fourteen (14) business days from the Conference end date.
- Complaints must be submitted exclusively by e-mail to: [email protected].
- Complaints shall be considered within fourteen (14) days of receipt by the Organizer.
- If additional explanatory actions are required, the Organizer reserves the right to extend the complaint review period and shall notify the Applicant of such extension within seven (7) days of receiving the complaint.
- Information regarding the resolution of a complaint shall be sent exclusively by e-mail to the address specified in the complaint.
- Complaints submitted after the deadline specified in Section 1 above shall not be considered.
§ 1.7 Personal Data Processing
- The controller of the Participants’ personal data is Intense Group Sp. z o.o., with its registered office in Kraków, ul. Opolska 100, 31-323 Kraków, Poland, KRS No. 0000310160, NIP: 945-211-00-74, e-mail: [email protected].
- Personal data shall be processed for the following purposes:
- enabling participation in the Conference – performance of a contract pursuant to Article 6(1)(b) GDPR;
- establishment, assertion, or defence of legal claims – legitimate interest of the Organizer pursuant to Article 6(1)(f) GDPR;
- direct marketing of the Organizer’s products and services pursuant to Article 6(1)(a) and Article 6(1)(f) GDPR;
- documentation, reporting, advertising, and promotional purposes relating to the Conference and the Organizer pursuant to Article 6(1)(b) and Article 6(1)(f) GDPR.
- Personal data shall be processed for the following periods:
- participation in the Conference and contract performance – for 24 months following completion of the Conference, unless longer retention is required due to limitation periods for legal claims;
- archival purposes, complaints, and legal claims – for the period necessary to fulfil these purposes;
- marketing activities – until consent is withdrawn or an objection is raised;
- image-related data – until an objection is raised.
- Participants have the right to access, rectify, erase, restrict processing of, and transfer their personal data, as well as the right to object to processing.
- Participants have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO).
- Provision of the personal data specified in the registration form is voluntary but necessary in order to participate in the Conference.
- Personal data may be transferred to entities entrusted by the Organizer with data processing under relevant agreements and to entities authorized to obtain such data under applicable law. Image-related data may also be transferred to social media platforms such as Facebook, LinkedIn, and YouTube, which act as independent data controllers.
- During registration, Participants may be requested to provide separate consents for the processing of personal data for the Organizer’s marketing purposes.
- Where processing is based on consent, Participants may withdraw such consent at any time by sending a notification to: [email protected].
- Personal data shall not be subject to automated decision-making processes, including profiling.
§ 1.8 Final Provisions

These Regulations shall enter into force on January 1, 2026. The Organizer reserves the right to amend the Regulations, provided that any amendments shall become effective upon publication.
Completion of the registration process constitutes the conclusion of an agreement for participation in the Conference, and these Regulations form an integral part of such agreement.
