Our goal was to maximise user comfort and the module’s efficiency. Instead of clicking through multiple screens in the system, users can simply type: “Show me invoices that have been awaiting approval for more than 7 days” – and receive a ready-made list rather than instructions on where to find it.
Instead of adapting to the system’s structure, users simply describe what they need. The assistant takes care of the rest.
Research first, then Product
Before we started developing the Intense AI module, we conducted extensive research. Focused on three areas: the actual technological capabilities of available models, the real needs of our users, and data security and regulatory compliance.
The last of these is particularly important. Artificial intelligence is an area where regulations are changing rapidly. New EU regulations are coming into force on an ongoing basis, and organisations need to adapt accordingly. At Intense, our priorities remain unchanged: data security and user needs. That is why we treat monitoring regulatory changes and adapting the module to current requirements as a standard practice, not an exception.
This approach allowed us to build a module that not only works – but works responsibly.
So, what is Intense AI?
Intense AI is an intelligent assistant built directly into the Intense Platform. It is not a tool operating alongside the system or a chatbot simply added to the interface – it is an intelligence layer deeply integrated with the data, documents and processes used across the organisation.
The assistant is available as a docked icon – two stars visible throughout the system across all three interfaces: Windows, Web and Mobile.
The icon is consistent across all environments, making it easy for users to recognise regardless of the device they are using.
Users communicate with the platform in natural language, either by text or voice. The assistant independently interprets requests, searches for relevant information, analyses content, initiates processes and completes data. The module continuously learns the system’s local configuration and has been optimised for Polish, while supporting any language.
Intense AI does not simply answer questions – it performs specific actions within the system. This is a fundamental difference compared with conventional solutions of this type.
Importantly, administrators have full control over assigning permissions to individual AI functions for system users. In the context of legitimate concerns about security, this is just as important as the functional capabilities themselves.
What the AI Assistant can do in practice?
- System navigation
Users do not need to remember where specific data is located in the system or how to configure filters to display it. Instead of manually searching through menus, they simply enter a query, and the assistant takes them directly to the relevant list or function. This is particularly useful in complex environments where the system supports numerous modules and processes. - Context memory
The assistant remembers where the user is and what they have opened during the current session. This allows users to continue their requests without having to repeat previous steps – the conversation with the assistant flows naturally, just like a conversation with someone who knows where you left off. - Performing actions in the system
Intense AI does not stop at providing an answer. It can perform operations available within the platform and initiate business processes. For example, it can automatically prepare and submit a leave request, complete data in a service ticket or initiate the next step in a purchasing process. All based on a single command.
- Document and attachment analysis
The assistant analyses contracts, quotations, invoices, forms, scans and PDF files. Importantly, it does not stop at reading their content – it can immediately use the information contained in a document within a process: populate relevant fields, create system objects and perform subsequent steps automatically. It can also help summarise, draft and proofread texts, identifying typos, grammatical errors and stylistic issues that are easy to overlook when working with large numbers of documents every day. In addition, the assistant can translate texts into any language. - Automatic form and data completion
Based on an uploaded file, such as a contract, the assistant creates a new object with fields populated using information identified in the original document. No more manually copying data between systems. More broadly, based on content, context and process history, AI can suggest or automatically populate information in the platform, eliminating a significant amount of repetitive work and reducing the risk of errors. - Document registration
AI enables users to create documents based on simple commands entered in natural language. The system automatically completes the required data and prepares a complete document, significantly speeding up the user’s work.
A System that adapts to the User
Each of these functions follows the same principle that guides the development of the entire Intense Platform: Your needs lead. The system follows.
The AI assistant does not change the way people work – it adapts to it. It does not require users to change their habits or impose new processes. It is there when it is needed and operates within the boundaries defined by the administrator.
This approach is particularly important in the context of AI, where concerns about security and control are justified. We wanted to build a tool that users can trust, with trust and security embedded into its design from the very beginning.
